COURT AND COURT RELATED PROGRAMS
Document Index:
GENERAL FEATURES
The screens are clear and easily understood even by a novice which allows
ease in training. The screens make maximum use of pop-up windows with
pre-determined entries to eliminate typing errors. Single function key usage
permits maximum use of pre-programmed instructions to simplify the entry
process. The programs make maximum use of state and local codes for the
distribution of fines, costs and other monies. For repetitive verbose type
docket entries, a coded entry system creates these entries in the docket. The
programs are integrated with word processing programs to automatically create
special forms required by the court such as attorney notifications, warrants,
subpoenas, dunning letters or chapeau. Reporting programs associated with each
module are included. Ad Hoc reports are available through the DYNAMIC DOCKET 1. The modules contain utilities programs which
allow a court to make internal modifications without resorting to costly
reprogramming. Where required, an ACTION DATE is imbedded in each case which
alerts a court to future required action. Multiple levels of security are
available in all modules as well as multiple identifiers to search for and
locate a case.
CASE MANAGEMENT CALENDAR AND SCHEDULING SYSTEM
This system cross communicates with each of the Docket and Reporting
systems and maintains both the personal and docket calendaring from an
administrative level. As each court case is added at the Docket level,
calendaring data is stored in Case Management so that a judge may clearly
identify when cases are to be heard and how his/her personal schedule will be
affected. As cases need to be rescheduled, attorneys changed, or notices sent,
Case Management automatically updates the Docket and Reporting case records;
documenting the type of action performed at that level. A secure note file is
available for use by a judge in entering private comments about a case.
This module also allows judges full control of their personal and docket
schedules. These programs are fully integrated with the court docket allowing a
judge or the judge's assignment clerk control of all appointments, hearings,
and trials as may be required. A calendar of events for a full year in advance
is available. There are no financial programs associated with this module. The
programs include to-do lists, appointment schedules, and electronic mail.

to include waivers, scheduling of appearances, production of a judges work
sheet, and docket disposition. Collections of fines and costs produce receipts
with a daily record of collections and cashbook(s). The financial programs also
account for monthly receipts and distributions. They contain a free form docket
entry screen for recording of dated judicial actions. Entries which require
future action produce a daily or weekly report of these required actions.
Failure of a defendant to comply produces a listing of defaults. If a court
allows deferred or time payments, delinquent accounts can be tracked for
follow-ups on action as the court may dictate. They integrate with any
automated violation programs which a state may have. (See BMVI
Motor Vehicle Penalty Point below.)

DYNAMIC DOCKET QUERY1
Dynamic Docket Query offers everything needed to generate inquiries and
reports, manipulate data, and create user interface files, all in a single
integrated system. Novice users as well as those with years of experience
appreciate its ability to make easy work of information access. Benefits are:
easy to learn/menu driven; easy generation of reports, easy generation of
extract files; built in HELP functions.
DYNAFORM1
This program was designed to permit end users to create their own forms and
recall data from the data base. The programs can create not only the customized
forms but also screens for keyboard input.
DOCUMENTS ON DEMAND 1
This program allows the creation of a special document pertaining to a
case. With the use of two function keys, a screen appears with a listing of
appropriate court documents located in an adjunct file. When the document is
selected, the information from the case is automatically transferred to that
document without any additional work by the user. This is a major labor saving
feature.
GRAPHICS1
These programs integrate with an appropriate court module to produce a
graphic display of court statistics by type such as the number of traffic
cases, or criminal cases by month or year.
ATTORNEY MODULE
These programs are an integral part of all court modules. Given an attorney
bar-code or special identifier such as unique initials, the programs
automatically retrieves all pertinent information about an attorney associated
with a case. Change of trial, hearings, or other delays permit the user to
generate an attorney notification letter/notice to all attorneys associated
with the case. If compatibility exists, these programs may be purchased
separately.
UTILITY PROGRAMS MODULE
These programs are included to enhance or modify other programs in the
HSF, INC. court system. A major feature of these programs is that they
permit the user to make changes to the system without resorting to a vendor for
expensive modifications. They permit the restoration of previously archived
cases, system updates such as password changes, maintenance of a witness file
and a special-note codes file. This file permits maintaining long and tedious
docket entries, which by the use of a simple user created code transfers the
docket entry into the appropriate case. This is a tremendous time saver.
PROBATION MODULE
These programs track persons assigned reporting or non-reporting probation
by a court. Case details in the docket file are automatically transferred to
the probation system without the requirement for data re-entry. Additional
details may be added pertaining to the basic record concerning the performance
of probation as well as pertinent identifying information such as height,
weight, race, sex, color of eyes and hair, and marks and scars. This latter
information is useful if a warrant need be issued in the case of delinquencies.
Reports peculiar to probation are available to the probation officer.
JUVENILE MODULE
Because of the special confidentiality of juvenile cases, these programs
are maintained in two levels of security. The topmost level contains only those
items of a juvenile case deemed accessible by the court to court personnel. The
second level contains those details of the case which need be known only by a
judge or a designated juvenile officer.
PROBATE AND TRUSTEESHIPS MODULE
These programs maintain files related to probate and trusteeships managed
by the court. In addition to the basic identifying information, the programs
maintain records of deposits, distributions, receipts, checks and other matters
pertaining to the administration of the probate cases and trusteeships. A
free-form screen permits entry of court actions.
JURY SELECTION MODULE
These programs maintain a juror file which is either entered directly or
obtained electronically from motor vehicle registration files, voter
registration files, or both. The basic record contains that information
permitted by law. Subsequent information obtained by questionnaires may be
added. Such items would include prior jury service, relationships to law
officers, criminal convictions, credit history, crime victim status, etc. Once
the juror data base is created, jurors may be selected as the court may
determine using the one-jury:one-trial or other panel methods. The programs
contain a special random number generator for juror selection to eliminate any
possibility of bias. These programs may be integrated with our Voter
Registration Module.
PARKING MODULE
The programs in this module track parking tickets, repeat offenders and
scofflaws. Cashbook accounting is also included with electronic or manual data
entry.
BMVI MODULE
This module is normally an integral part of the TRAFFIC
module. The programs track penalty points awarded under state codes and
generate both written and electronic media for reporting to a state Bureau of
Motor Vehicles. The penalty points are automatically accounted for under
appropriate state and local ordinances which have been entered as part of the
system. If compatibility exists, these programs may be purchased
separately.
ARCHIVE MODULE
The programs associated with this module transfer the key identifying
information about a case to a flexible disk and generate a hard-copy index. For
cases physically removed to an archive location the storage location (bin
number, box number site identifier etc.) is also recorded. If compatibility
exists, these programs may be purchased separately.
BAR CODE MODULE
These programs create a unique identifier based on case number. If the case
is in the active file, the passing of a bar code wand over the bar code will
permit instantaneous access to a case. If a case has been archived, the archive
location of the physical case can also be retrieved or the index and disk upon
which case information is recorded can also be identified. If compatibility
exists, these programs may be purchased separately.
CASE MANAGEMENT PROSECUTING ATTORNEY
These programs track all complaints filed with a prosecuting attorney until
disposition. Complaints filed are maintained under a separate numbering system
unique to the prosecutor's office. After formal filing they are also accounted
for under the court's official case numbering system. The programs maintain
files on the prosecuting attorney(s), defense attorneys, witnesses, and
exhibits related to a case. The programs can be integrated with the official
criminal docket of the court in a browse only mode. This allows access to the
court system with full protection of the court files. Confidential prosecutor
files are maintained separately.
CASE MANAGEMENT PUBLIC DEFENDER
These programs track all cases under the purview of the public defender. In
essence these programs are the obverse of those of a prosecuting attorney.

registration of voters, produce voter lists by party registration or
affiliation, and can generate a history of prior voting dates or change of
party. The programs include, but are not limited to, demographics according to
age and party preference. The programs can produce precinct lists by party of
preference including independents or other designations. These programs are
capable of producing voter information not only to the voting jurisdiction but
also to candidates seeking office. They can produce mailing lists and labels.
These programs may be integrated with our
Jury Selection
Module.
LEGAL ACCOUNTING AND CASE TRACKING MODULE
These programs are designed for use by attorneys who need to maintain an
accurate accounting of their cases, retainers, and billables. The screens
provided give a summary of every client with the capability of recording each
event or action, and maintaining a running narrative of all actions associated
with a client and the client's needs. A special screen allows for the recording
of all costs associated with a client account down to and including postage and
telephone calls. A free-form narrative screen allows special entries relating
to a particular client case or account. The ACTION DATE feature which tracks
future requirements is in integral part of this module.
PRESENT VALUE OF FUTURE RETIREMENT
This program is designed to calculate the present value of future
retirement benefits for the purpose of asset settlement in a divorce case. The
programs, based on ten variables including mortality tables, calculate the
present value of the retirement and displays the results either on the screen
or in hard copy. Variables and assumptions such as interest rates may be
changed to give multiple options. These can be used for the purpose of creating
a basis for negotiations.
LITIGATION SUPPORT
These programs are designed to track the multiplicity of documents in
complicated civil proceedings. The programs make maximum use of state and local
codes for the distribution of fines, costs and other monies. For repetitive
verbose type docket entries, a coded entry system create these entries in the
docket. The programs are integrated with word processing programs to
automatically create special forms required by the court such as attorney
notifications, warrants, subpoenas, dunning letters or chapeau. Reporting
programs associated with each module are included. Ad Hoc reports are available
through data elements contained in that module. The programs may generate
inquiries, reports, manipulate data and create user interface files within a
single integrated system. The DYNAMIC DOCKET 1 is fully
integrated into the other HSF products permitting easily produced
reports from the data within the files.
